Loaner devices: how to manage devices given to customers

The problem is not the device. It is knowing where it is

Many workshops provide a replacement device when a customer's product has to remain in service for several days. It is a useful service and, for some customers, an essential one.

The problem starts when several loaner devices are circulating. A spreadsheet, a note on a computer or a WhatsApp conversation may no longer be enough to answer a simple question quickly: who has that device?

What should be recorded?

A structured process should associate the device with the customer and, where possible, with the related repair. Useful information also includes the handover date, expected return date, actual return date and an identifier that clearly distinguishes the device.

The goal is not more bureaucracy. It is to avoid forcing staff to reconstruct information from memory when it can be recorded once and kept available.

History makes the difference

The value becomes even clearer when the same loaner device is used repeatedly.

Knowing that a device was given to one customer on a certain date, returned and later assigned to someone else creates a useful history. If there is a question about availability or responsibility, the information is in the management system rather than in someone's memory.

Linking the loan to the repair

The loan should not live in a completely separate system. If the replacement device was provided because the original product is being repaired, the two pieces of information belong to the same context.
